Intro
Storebrand, a leading insurance company in the Nordics, wanted to optimize their case handlers’ time toward essential tasks instead of tedious manual work.
They wanted to speed up their operational efficiency. Employees were glad when a small robot streamlined and automated their eight incoming mail inboxes – all in a matter of days.
Challenge
Manual handling of 3-400 mail every day
Storebrand wanted to cut manual work and streamline their handling of mail from customers and other insurance companies to save time.
Every day, case handlers manually went through 3-400 emails, received in eight different inboxes. Emails were tracked and logged to an ongoing case. Handling one mail took 3 to 5 minutes when handled manually.
This was time-consuming, and case handlers spent time moving mails instead of handling cases.

Solution
Rules to monitor and automate incoming email in a few weeks
Using Microsoft Graph API, we connected one of Storebrand’s Genus applications to listen to incoming mail. Then, we created a small robot with no-code rules to direct incoming email:
Mail with a case number is logged directly into an ongoing case.
Mail without a case number is sent to an in-application queue for case handlers to go through.
The solution was up and running after a three-week project period with just a few days of no-code work. The solution can be used across domains.

Result
1-2 full-time equivalents (FTEs) saved by automation
So far, the robot has automatically handled 56% of all emails. This saves the case handlers a ton of time, and Storebrand estimates it to be 1-2 FTE every year.
